Learn how to control access using Organizational Memberships

Updated over a week ago

Navigating through collaborative environments often requires a robust system to manage access and roles efficiently. On Kodexa, organizations serve as a foundational structure to group projects, streamlining collaboration and access management. To ensure a seamless experience, it's essential to understand how organization memberships work, including the roles available and the permissions each role entails.

Understanding Organizations and Members

An organization in Kodexa is more than just a collection of projects; it's a collaborative space where teams can work together seamlessly. Members within an organization have access to all its projects, documents, and data, fostering an environment of transparency and cooperation. The level of access and control, however, varies depending on the member's role within the organization.

Roles within an Organization

Kodexa recognizes the diverse needs of an organization and its projects, which is why it offers three distinct roles for its members: Owner, Write, and Read. Each role is designed to cater to different levels of participation and responsibility within the organization.

Owner

The Owner role is the pinnacle of authority within an organization. Owners have full control over the organization's settings, projects, and memberships. This role is designed for individuals responsible for managing the organization at a high level. Key privileges include:

  • Inviting new members to the organization

  • Removing members from the organization

  • Creating, modifying, and deleting projects

  • Managing organization settings and permissions

Owners are the gatekeepers of the organization, ensuring that the right people have the right access.

Write

The Write role is tailored for members who contribute actively to projects by adding or removing content but do not need to manage memberships or the organization's overarching settings. This role is perfect for active contributors and project managers. Write privileges include

  • Adding new projects and documents to the organization

  • Removing projects and documents from the organization

However, members with Write access cannot invite new members or alter the organization's settings.

Read

The Read role is designed for members who need to view projects, documents, and data but do not require the ability to make changes. This role suits stakeholders or team members who need to stay informed about the organization's activities without directly influencing its content. Read privileges are limited to:

  • Viewing projects, documents, and data within the organization

Members with Read access ensure that they have the information they need while maintaining the integrity of the organization's content.

Conclusion

Kodexa's organization memberships offer a flexible and secure way to manage access to projects and documents, ensuring that every member has the appropriate level of control and visibility. By understanding the distinct roles and their permissions, organizations can effectively manage their members, fostering an environment that promotes collaboration while safeguarding sensitive information. Whether you're leading the organization, actively contributing to projects, or simply staying informed, Kodexa has a role that fits your needs.
